Manage Products

As soon as a Producer or a PG is registered (producer status "not confirmed" or "registered"), employees with the role "Trustee-Masterdata" can add products.

Adding products to Producer or Producer Groups and setting the product attributes can be done via product upload sheet or manually online. Following the manual online way will be explained.

Adding products and setting the product attributes are done online via "Manage Products".

Here you can search the Producer by entering a search criteria such as the GGN or the company name and click enter.
You can then select the Producer with the green square.

Then you will see the available scopes, sub-scopes the Certification Body is approved for. Furthermore already saved products if available.

Selecting the respective scope and sub-scope you can add a product with the plus-button.

In the drop down menu all products are listed that are included in the product list of the respective sub-scope.

After the product is selected following data need to be entered for the current and/or next cycle.
Please note here that we consider the current vs next cycle always from the date of "today".

According to General Regulations product information for the next cycle can be updated 8 months before the certificate expires or the product cycle ends, otherwise the row of the next cycle is greyed.

Quantities

Quantity information has to be put in hectare.

The quantity information is obligatory for the option 1 single producer.
For option 2 producer group no quantities will be inserted, the quantities will be displayed on the producer group member level.
Therefore for option 2 producer group members inserting the quantities is also obligatory.

But please note that in case a producer group has its own fields (own produce of a product- which can also be cultivated by the producer group members) it is also obligatory to enter the product quantity for the group´s product itself.

There are four categories for quantity information:

  • Non-covered crops mean the unprotected crops (open air).
  • Covered crops mean the protected crops (e. g. greenhouse, shadow).
  • First harvest quantity stands for the hectare quantity that is harvested first on the field and shall be certified, where crop rotation is applied.
  • Further harvest quantity is the hectare quantity for the same or a different crop that is harvested on the same field (rotation harvest).

Please see below some examples for first and further harvest:

Grower A option 1
A grower A cultivates lettuce and melons in rotation on one field which is 15 hectares.
First lettuce is planted and harvested and shall be certified. This means that for non-covered first harverst 15 hectares need to be inserted.
Afterwards melons are planted and harvested and shall be certified which means that for non-covered further harvest also 15 hectares need to be inserted
Grower B option 1
A grower cultivates tomatoes and cucumbers in rotation in the greenhouse which is 22 hectares.
First tomatoes are harvested which means that for covered first harvest 22 hectares need to be inserted.
Afterwards cucumbers are harvested twice and shall be certified. For covered further harvest 44 hectares need to be inserted (2 x 22 ha).

Producer Registration Fees are calculated based on the quantity registered under first harvest. (Please, check our Fee table)
For perennial crops, the area covered by the Producer Registration Fee is the area in production, i.e. juvenile, non-producing fruit trees are not subject to any fee.
Likewise, in case of ornamentals like Christmas trees, the Producer Registration Fees only apply to the area to be harvested during the year of validity of the certificate. In order to maintain information about the whole area under cultivation, the area in production and to be harvested shall be registered as “First Harvest”, and the non-producing area as “Further Harvest”.


Scheme, CB/PG and option

Here you can select the relevant scheme, the Certification Body or Producer Group (CB/PG) with the option.

Start with selecting the relevant scheme then you can proceed with selecting the CB/PG.

Selecting the CB/PG depends on:

  • If a producer is an option 1 single producer, the product need to be linked with the Certification Body and the relevant CB need to be selected.
  • If a producer is an option 2 Producer Group, the product need to be linked with the Certification Body and the relevant CB need to be selected.
  • If a producer is an option 2 Producer Group Member, the product need to be linked with the Producer Group. Here the relevant Producer Group need to be selected.
    Please note here before you can select the relevant Producer Group Business Relastions to the Producer Group need to be set.
  • If a producer is an option 1 Producer Group cultivating their own products, the product need to be linked with the Certification Body and relevant CB need to be selected.

Depending on the CB/PG or scheme you´ve selected the option (1, 2, 3 or 4) is automatically set by the system.
Only in case of a Producer Group cultivating it´s own products you need to select option 1 manually.

Please note that during a valid cycle or a sanction the Certification Body or the Producer Group including the option cannot be changed.


Multisite

Please select here if the producer has no multisite or multisite with/without QMS. Please note multisite needs to be selected for each product however the multisite information is per Certificate and cycle. Therefore only one value is possible. Example: If Product A, B and C have no multisite but Product B has multisite w/QMS - then for all products it should be multisite w/QMS in the database.


Countries of Destination

In order to add the Countries of Destination, please select the green star as shown below.

Countries can be added by selecting them and then using the arrows to add them to the Countries of Destination.
Selected countries can be added via the single green arrow and all countries can be added using the three green arrows.
Countries can be deleted via the green arrow facing in the opposite direction.
Please note that the country of the producer/producer group is preset as a country of destination and cannot be deleted.

Please note that the products produced have to comply with the MRLs of the added Countries of Destination.


Product Attributes

To enter the product attributes you need to select the green box as shown below.

Copy: area and product attributes from current cycle to next cycle.

Products can be linked with different Certification Bodies or producer groups and different schemes. This implies that a producer or producer group may use more than one Certification Body, company type, option and/or schemes, but there is only one Trustee-Masterdata, who is responsible for the notification and registration in the GLOBALG.A.P. database.
